Event Terms & Conditions:
Effective: 1st November 2026
These terms apply to event services provided by B-Alternative Pty Ltd, trading as We Are Ripple Projects (ABN: 54 605 752 476) ("Ripple Projects", "we", "us") to the client named in the quote ("Client", "you"). By accepting a quote, paying a deposit or otherwise confirming a booking, you agree to these terms.
1. How these terms apply
Each booking is governed by the accepted quote and these terms. The quote sets the price and scope of the event, and these terms apply to everything else. If they conflict, the quote prevails on price and scope.
We are not required to reserve stock, allocate staff, arrange transport or begin preparation until the booking is confirmed (the quote is accepted and the booking deposit is paid).
2. Quotes
Quotes are provided obligation free and are valid for 30 days. All prices are inclusive of GST unless stated otherwise.
3. Payment terms
Unless your quote says otherwise:
10% booking deposit, due on acceptance of the quote
40% due 4 weeks before the event
50% due 7 days after the event
If an event is booked less than 4 weeks before it starts, the 10% and 40% payments are both due on booking. The remaining 50% is due 7 days after the event.
Charges for washing, loss or breakage (see section 6) are due within 7 days of the invoice being issued.
Works begin only once all payments due before the event have been received, at least 48 hours before the event commences. Any delay may result in Ripple Projects not attending the event.
Late payment: Overdue amounts incur a late payment fee of 2% of the overdue amount per month (not compounded), plus our reasonable costs of recovering the debt. We may withhold further services while amounts are overdue.
Please pay by bank transfer and quote the invoice number as your payment reference. Bank details are on each invoice.
4. Cancellation and postponement
Cancellations, reductions and postponements must be confirmed in writing (email is fine).
The booking deposit is not refundable.
We may cancel the booking if payment terms are not met, or if the Client cancels or reduces the agreement. The deposit will not be returned.
If the Client cancels 7 business days or less before the scheduled start of activities, the full quoted amount will be charged.
If the Client postpones or reschedules 7 days or less before the scheduled start, the booking deposit and any payments made to date will not be refunded.
If works have not yet commenced, we may charge for any preparation costs we have incurred, plus an additional 10% administration charge.
5. Variations and additional costs
If the scope of works changes on site from the agreed quote, the Client will incur the associated costs unless otherwise agreed earlier. On-site variations will be confirmed between the Client and Ripple Projects in writing (text, email or other).
If additional hours are required from our staff during an event, we will record them and invoice the Client after the event, including any relevant penalty rates agreed before the event. We will communicate additional hours as required during the event.
Extra costs may also apply if certain items are not selected (for example, delivery and set-up of hired equipment), or if unforeseen inclement weather requires additional labour.
6. Washing, lost and damaged crockery (If Applicable)
Additional charges for washing, loss or breakage will be totalled and invoiced after the event.
The following fees apply to lost and damaged crockery (all excluding GST):
Lost or damaged crockery (cups, rectangular dishes, bowls and plates): $5.00 per unit
Lost or damaged PIZZycle: $10.00 per unit
The following fees apply washing of hired crockery if not already included in a quote:
$1.00 per unit
7. Vendors and reusable crockery (If Applicable)
Unless discussed otherwise, the event organiser introduces Ripple Projects to vendors as a mandatory service, and all vendors are directed to use 100% reusable crockery (excluding cutlery, which must be bamboo or timber). We will work with vendors to determine dishware requirements and support them to use the system pre-during event.
Vendors must complete the vendor form provided by Ripple Projects. If they do not, we will accommodate them as best we can, but may not have exactly what they require at all times.
Food vendors and compostables: Food vendors can’t serve in single-use or compostable packaging without our pre-approval, and we can ask them to stop serving in single use.
Extra labour charges (for seperating single use contamination from bins) may apply if reuse guidelines aren’t followed, and we may end the agreement without refund if the organiser doesn’t follow them after the deposit is paid.
We may send vendors a short reuse feedback form after the event, and we ask that vendors complete it.
8. Media
Ripple Projects may list the Client's name on our website, social media and any media outlets we partner with. This includes use of images taken by the Ripple Projects photographer, in line with standard photography laws.
9. General
Work health and safety: Each party must comply with applicable work health and safety requirements. The Client must tell us about known site hazards, and we may refuse or suspend unsafe work.
Subcontractors: We may use contractors and other providers to deliver the services.
Force majeure: Neither party is liable for failure or delay caused by circumstances outside its reasonable control. We will first try to postpone or modify the services. Costs we have already incurred that cannot reasonably be recovered or reused remain payable.
Changes to these terms: We may update these terms. The version in effect when your quote was accepted applies to that booking.
Governing law: These terms are governed by the laws of Victoria, Australia.
